Collaborative documents are a solved problem — except they aren't. Google Docs is great for a document but doesn't have a chat panel that stays attached to it. Notion is powerful but buries you in structure before you can write a sentence. Confluence requires a full Atlassian account and a tutorial just to navigate. And Salesforce Quip — which got this formula right — is now locked behind a Salesforce enterprise license that costs more than most small teams spend on software in a year.
So I built Notesmith.
Real-time collaborative documents. Team chat built into the same interface. Task tracking that lives next to the document it belongs to. Version history so you can see what changed and roll back if you need to. One account, all of it together.
What Notesmith Is
Notesmith is a document platform built around the idea that conversations and tasks should live with the document they're about — not in a separate Slack thread that you have to go find, or a separate project management tool that doesn't know anything about the document it supposedly relates to.
The Quip Problem
Salesforce Quip got the document-plus-chat combination right before most tools even thought about it. A document editor with a conversation thread running alongside it, tasks you could embed inline, real-time sync — it was genuinely a better workflow than the document-and-Slack-in-separate-tabs setup most teams still use.
Then Salesforce bought it. Now getting Quip requires either a full Salesforce subscription (starting around $25/user/month, usually requiring a sales call) or navigating a confusing standalone pricing page that may or may not include the features you actually want. For small teams and independent workers, it's effectively off the table.
Notesmith is the version of this that doesn't require you to call a sales rep.
How It Compares to Google Docs + Slack
The most common alternative to a tool like Notesmith is to use Google Docs for documents and Slack for conversation — the standard two-tab setup. Here's the friction that creates:
- Conversations in Slack get detached from the document they're about. Three weeks later, good luck finding the thread where someone approved the final version.
- Action items from Slack conversations live in Slack — not in the document, not in a project tracker. They get dropped.
- Searching across documents and conversations requires searching two different tools with two different interfaces.
- There's no version history in Slack, so the reasoning behind a document change often disappears entirely.
Notesmith keeps all of this in one place. The conversation is part of the document record. The tasks are attached to the content they came from. The version history shows both what changed and what was being discussed when it changed.
Who It's For
Notesmith works well for:
- Small teams that collaborate on documents regularly and want conversation to stay attached to work
- Freelancers and contractors who share documents with clients and want a clean, professional collaboration experience
- Anyone who used Quip before it went enterprise-only and wants something with the same core workflow
- Teams that find Notion too heavy and Google Docs too bare
An account is required — this is a collaborative platform, not a single-user scratchpad. Visit notesmith.io to create one.
Part of the VARØ Suite
Notesmith is one of the flagship apps in the VARØ Industries app suite, alongside KnotDo (task management with Kanban, Gantt, and timeline views) and MakerManifest (gear lists and affiliate tools for YouTube creators). The same philosophy across all of them: build the tool that should exist, make it work correctly, don't hide features behind enterprise pricing.
